Curse that little scrap of paper!

It’s happened to all of us at some point. We received a customer call or had a customer meeting, spoke a while, and took some scribbled notes on a little scrap of paper or a napkin. Critical contact information or event details were stashed in the moment. At the time, you thought nothing of it – you had all intention to keeping this information for this special upcoming event. Maybe you presumed the client would not call back right away. You presumed you’d get back to that little scrap and deal with it. You went on with your day – until the time comes that you NEED to find that information. All of a sudden, it’s become very precious now! And when you want to find it, you can’t. The thoughts are like “Did I look under the seat of my car?” or “Is it at the bottom of my backpack or purse?” What a scramble. Honestly, sometimes you get lucky and find it – other times you don’t.

Maybe you always know where your little scraps of paper are! Most don’t. The time spent looking for that little piece of paper is always stressful. In the moment of the search, you can’t concentrate on anything else. Honestly, that little scrap of paper could contain the missing address of your next appointment. It might have an important lead for a big upcoming event. It could contain the contact phone of the second in charge – and because the first contact often does not answer their phone! It could contain the email of that day helper that might save the day. When you need that missing information, it’s important to not be caught unprepared – or you may lose opportunity.

A System

Scribbled notes on napkins and crumpled paper are often hard to read. I hate it when I can’t read my own writing! The most important thing here is to enter your info into a safe place along with the rest of your information. If you don’t have a system of tracking info, then it all falls apart. For many event professionals, time is of the essence when dealing with leads and clients, and a tracking system is drastically needed.

Could there ever be a solution for all of this? Another system on how to be organized??  Well, everyone has to start somewhere on organization and develop good habits when booking new or returning clients. The curse of the little scrap of paper will not go away otherwise.
